AI Chatbot for Your Business Website: What It Can and Cannot Do

By the Website Architech team3 min read

An AI chatbot can answer common questions at any hour, collect enquiries and point visitors to the right page. Used well, it saves time and catches leads you would otherwise lose. Used badly, it frustrates people and makes a business look careless. The difference is mostly in how it is planned, not in the technology.

What an AI chatbot can do well

  • Answer repeat questions. Opening hours, pricing, service areas, delivery times and how your process works.
  • Work around the clock. Visitors get an answer at 11pm without waiting for the next business day.
  • Capture leads. It can ask a few simple questions and pass the name, contact details and request to you.
  • Guide people. It can send visitors to the right service page, price list or booking form.
  • Handle first contact. It can start the conversation so your team picks up with context.

What it cannot do

  • Replace a real conversation. Complex, emotional or high-value situations need a person.
  • Know things you have not told it. A chatbot is only as good as the information behind it. Out-of-date prices lead to wrong answers.
  • Make decisions you have not allowed. Refunds, exceptions and custom quotes should be passed to a human.
  • Be right every time. AI can sound confident and still be wrong, which is why the setup rules below matter.

How to set one up properly

  1. Pick one or two jobs. For example, answering common questions and collecting enquiries. Starting small works better than trying to do everything.
  2. Feed it your real information. Services, prices, policies, service areas and the questions customers actually ask.
  3. Set boundaries. Tell it what it should not answer, and have it say “I will pass this to the team” instead of guessing.
  4. Add an easy way to reach a person. A phone number, email or callback request should always be one step away.
  5. Test it hard. Ask odd questions, wrong questions and rude questions before visitors do.
  6. Review the conversations. Read what people ask each week and keep improving the answers.

Privacy and trust

Tell visitors they are talking to an automated assistant. Only collect the details you need, explain what you will do with them, and follow the privacy and messaging rules that apply in your country. Do not ask for sensitive information such as payment card numbers in a chat window.

Is a chatbot right for you?

It tends to help most when you get the same questions repeatedly, receive enquiries outside working hours, or lose leads because nobody replied quickly. If you only get a handful of enquiries a month, a good contact form and a fast reply may be enough.

Start simpleOne of the quickest wins is not a chatbot at all. A missed call text back replies automatically when you cannot answer the phone.
